Your mission will be to serve as the administrative anchor of our team, providing reliable and quality administrative support and efficiently organizing our professionals’ daily activities.
YOUR ROLE ON THE TEAM
Customer service and administrative support
- Warmly welcome patients at reception
- Provide information and answers to patients on the telephone in a friendly manner
- Manage appointments and the professionals’ agendas efficiently and effectively
- Conduct personalized follow-ups with customers based on the information in their files and meticulously prepare these files for our professionals
- Ensure invoice compliance and, when necessary, contact the RAMQ, the CNESST, insurance companies and other paying agencies
- Efficiently manage patient files after their visit by digitizing and processing the new information
- Diligently manage correspondence and communication (mail, email, faxes, memos, etc.)
Accounting and inventory
- Process patient payments and follow up as needed
- Conduct end-of-day close-out process and finalize sales reports
- Make deposits and send documents to the accounting department
- Prepare, receive and ship orders
- Oversee the inventory of patient products and office supplies
- Organize purchase orders with suppliers and follow up when necessary
- Send the financial data regarding inventory management to the accounting department
REQUIREMENTS FOR SUCCESS
- A vocational or CEGEP diploma in Administration (specialization in Secretarial Studies)
- At least two years of relevant experience
- Bilingual,* spoken and written (an asset)
- Full command of Office tools (Outlook, Word, Excel)
- Knowledge of electronic medical record management
- Ability to learn quickly and adapt to new challenges in a changing environment
- Ability to manage stress and stay positive, even in difficult situations

- The need to read and understand documents written in English by either customers or health professionals, and to respond to them in writing, on a daily basis. The job candidate must have an intermediate level of proficiency in the production and comprehension of written English.
